A well-designed playbook saves your front desk 30 minutes a day. Concrete example: the "morning opening" routine.
Example: Daily opening
Here's a playbook that fires every day at 7am:
- Verify cash drawer (assigned to: front desk of the day)
- Print arrival and departure list (front desk)
- Pre-allocate VIP rooms (manager)
- Verify breakfast availability (F&B)
- Brief the housekeeping team (head of housekeeping)
Each member sees their tasks in their app by 7:05am. No more paper checklists to fill in manually.
Available triggers
- Cron: fixed time, daily / weekly / monthly
- Reservation created with filters (segment, amount, OTA, type)
- Check-in done (triggers welcome tasks)
- Check-out done (triggers turnover tasks)
- Manual: "run now" button from a sheet
Advanced filters
Restrict the run to:
- Weekends only
- Deluxe / Suite types only
- Stays > 3 nights only
- First-time guests only
Tests and drafts
A playbook has two states: draft (test runs, see what would be created) and active (production). The Simulate button shows the outcome without creating tasks.
