Your data belongs to you. Heroes provides multiple ways to export it and keeps backups on your behalf.
One-off exports
On most list pages (Reservations, Guests, Invoices…), an Export button offers:
- CSV: basic spreadsheet, opens in Excel/Numbers
- XLSX: formatted Excel
- PDF: print / archive friendly
Scheduled exports
Settings → Exports → + Schedule an export. Define:
- Source (Reservations, Tasks, Invoices…)
- Cadence (daily, weekly, monthly)
- Destination (email, SFTP, Google Drive, Dropbox)
- Format (CSV, XLSX, JSON)
Ideal to feed an external data warehouse or archive at your accountant's.
Heroes backups
Your data is backed up every night to redundant storage. 30-day retention. If you need a restore (incident, fat-finger…), ask support — free, under 24h.
GDPR export (article 20)
A guest requests their personal data? Reservations → Guests → profile → GDPR export. ZIP archive with: profile, stay history, invoices, communications. GDPR article 20 compliant.
Permanent deletion
For the right to be forgotten (article 17), Anonymise guest replaces personal data with hashes. Accounting history is kept (legal duty), but the guest becomes non-identifiable.
